MSP OPERATIONS / BUYER RESEARCH
MSP outsourcing, by operational need
Choose which MSP function to outsource, compare delivery models and retain control of access, service quality and transition.
Match the problem to the service
| Your operational need | Start here | Keep ownership of |
|---|---|---|
| Infrastructure alerts and runbook work | NOC research | Access approvals, exception handling and customer commitments. |
| End-user requests and remote support | Help desk research | Client experience, ticket boundaries and escalation. |
| Nights, weekends or holiday gaps | After-hours planning | Critical incident authority and next-shift continuity. |
Choose the operating model
| Model | Useful when | Tradeoff to resolve |
|---|---|---|
| Shared team | Demand varies and work can follow documented runbooks. | Confirm context retention, queue priority and tenant separation. |
| Dedicated team | Client context and a stable team are central requirements. | Confirm staffing minimum, absence cover and named escalation. |
| Overflow | Your team owns the queue but peaks need extra capacity. | Define activation triggers, assignment and return-to-owner rules. |
| After-hours | Your internal shift ends before required coverage does. | Document timezone, holidays and morning handoff. |
Risks to settle before selection
| Risk | Control | Evidence |
|---|---|---|
| Scope drift | Write inclusions and exclusions by task. | Matched RFP and change-control rules. |
| Loss of operational visibility | Retain access to tickets, logs and reports. | Pilot trail and monthly report sample. |
| Difficult exit | Define data return, access removal and transition fees. | Contract schedule and exit rehearsal. |
Build a requirements checklist
- Record approximate users, endpoints, ticket categories and current PSA/RMM.
- Define required hours, timezone, holidays, supported languages and client-contact rules.
- Assign severity, escalation ownership, data access and approval boundaries.
- Set the pilot acceptance tests, reporting cadence and exit requirements.
Use the complete RFP template or review the vendor checklist. Keep credentials and confidential client or ticket data out of planning documents.
Access, integration and SLA controls
- Verify PSA/RMM workflow direction, client mapping, privileges, retries and support ownership. A named tool is not proof of a tested integration.
- Request current security evidence with scope, staff locations, subprocessors, incident notification and credential-revocation procedures.
- Separate acknowledgement, work start, mitigation, restoration and resolution. Record clock start, pauses, exclusions and remedies.
Evaluate the SLA and test the integration workflow before accepting a proposal.
