White-label help desk for MSPs
Compare brand presentation, ticket scope, staffing, tools and commercial evidence before building a support-provider shortlist.
Fast fit check
| Field | Decision boundary | Proof to request |
|---|---|---|
| Brand ownership | A good fit preserves agreed greetings, email and portal identity. | Poor fit - client-facing behavior is undefined. Request samples. |
| Coverage window | A good fit matches timezone, holidays and shifts. | Poor fit - 24x7 is quoted without an operating definition. |
| Ticket scope | A good fit lists tiers and delegated tasks. | Poor fit - broad IT support wording stands in for inclusions. |
| Supported tools | A good fit supplies a testable workflow. | Poor fit - logo presence is the only integration evidence. |
| Escalation ownership | A good fit names the receiving owner and out-of-hours path. | Poor fit - unresolved tickets have no accountable owner. |
| Commercial model | A good fit defines unit, minimum, fees and term. | Poor fit - proposals use unmatched volumes or exclusions. |
Choose the operating model
| Model | Useful when | Tradeoff to resolve |
|---|---|---|
| Shared team | Demand varies and work can follow documented runbooks. | Confirm context retention, queue priority and tenant separation. |
| Dedicated team | Client context and a stable team are central requirements. | Confirm staffing minimum, absence cover and named escalation. |
| Overflow | Your team owns the queue but peaks need extra capacity. | Define activation triggers, assignment and return-to-owner rules. |
| After-hours | Your internal shift ends before required coverage does. | Document timezone, holidays and morning handoff. |

Service labels do not confirm every task, integration or access requirement. Ask each candidate to complete the same RFP and validate critical workflows in a pilot.
What changes the quote
Volume, handling time, coverage, specialist scope, staffing model and retained management affect the proposal. Compare a common workload and separate recurring charges from onboarding, overages and exit costs.
Access, integration and SLA controls
- Verify PSA/RMM workflow direction, client mapping, privileges, retries and support ownership. A named tool is not proof of a tested integration.
- Request current security evidence with scope, staff locations, subprocessors, incident notification and credential-revocation procedures.
- Separate acknowledgement, work start, mitigation, restoration and resolution. Record clock start, pauses, exclusions and remedies.
Evaluate the SLA and test the integration workflow before accepting a proposal.
Build a requirements checklist
- Record approximate users, endpoints, ticket categories and current PSA/RMM.
- Define required hours, timezone, holidays, supported languages and client-contact rules.
- Assign severity, escalation ownership, data access and approval boundaries.
- Set the pilot acceptance tests, reporting cadence and exit requirements.
Use the complete RFP template or review the vendor checklist. Keep credentials and confidential client or ticket data out of planning documents.
Questions buyers ask
Does white-label mean every task is included?
No. Brand presentation and technical scope are separate requirements. The service order must define which tasks, permissions, channels and client interactions are included.
Which tickets stay with our MSP?
Keep exceptions, approvals and out-of-scope work with the named MSP owner unless the agreement assigns them elsewhere. Define the boundary by ticket category and severity.
How do we compare shared and dedicated support?
Use the same coverage and workload. Check staffing continuity, backup cover, queue priority, minimum commitment and escalation control in both proposals.
