Keep the old and new obligations matched
Describe the actual workload transferred today: clients, enrolled assets, hours, ticket types, permitted fixes, vendor escalation and retained work. Then give the same description to alternatives. If a new quote covers fewer actions or a different holiday calendar, show that difference explicitly rather than calling the new headline rate cheaper.
Include duplicate coverage during transition, documentation correction, software licenses, access changes and internal review time in the first-year cost. Check notice and any committed minimum before removing clients from the old service. Use the quote comparison and exit plan together.
Test the reason for switching
If the concern is handoff quality, run an unresolved shift-change incident. If it is integration depth, test tenant mapping, action timestamps and closure behavior in the exact products. If it is user experience, use an identity failure and a branded call in a desk pilot. Those cases should investigate the actual gap rather than merely demonstrate a routine easy fix.
Keep the current provider and replacement responsibilities separate during shadow operation. Choose one active actor per incident and preserve a reversible routing plan. An alternative's successful small pilot does not establish a universal SLA or justify transferring every client at once.
